Teamwork Makes the Dream Work: Collaborating on Spotix

Let's face it, planning an event is NEVER a one-man job. It takes all hands on deck.

From managing contestants and poll data to keeping track of attendees, tickets, and finances, there is only so much one person can do. Sometimes, you need more people to help you get the job done.

That's exactly why we built Teams into Spotix.

We understand that teamwork makes the dream work, which is why collaboration is built into our Polls and Events products. You can invite other people to help you manage your polls and events without having to share your account credentials.

Even better, you get to decide who has access to what.

Whether you need someone to help manage your poll, an accountant to keep an eye on your event's finances, or a team member responsible for a specific part of your event, Spotix gives you the tools to bring everyone on board.

Here's how it works.

POLLS

Adding teammates to a poll is simple.

From the Polls page, select the event you want to add your team to. Click the Controls icon, the one immediately after the Edit icon, to open the settings page.

Scroll down until you find the Team section.

From there, you can add the people you want to work with.

There's just one requirement: the person you're adding must already have a Spotix account.

Once you add them, we'll send them an email letting them know they've been added to the poll.

What can poll teammates do?

Polls have a simple team structure. There is one Admin, which is the poll owner, and you can add as many teammates as you need.

Your teammates can help with pretty much all of the day-to-day management of your poll. They can:

  • Edit the poll
  • Add and manage contestants
  • Adjust pricing for categories
  • Manage poll statistics
  • Manage poll data
  • View poll results
  • Handle other aspects of the poll's operation

There is one important restriction.

Teammates cannot initiate payouts.

This means you can delegate the management of your poll to your team while keeping payout control with you.

Only the poll owner can manage the team. Teammates cannot add or remove other teammates.

If someone is no longer working on the poll, you can remove them from the Team section in your settings.

EVENTS

For Events, things work a little differently.

Events usually involve more people, more responsibilities, and more moving parts. Your accountant may need access to your finances, but they probably don't need access to every other part of your event.

That's why Event Teams are built around different levels of access.

When adding someone to an event, you can give them one of three roles:

Admin, Accountant, or Custom.

A quick note: Check-in roles have been deprecated because check-ins are now handled through our offline scanner software.

Admin

The Admin role is for someone who is helping you run the event at a high level.

You can have multiple Admins, and Admins have virtually the same access as the event owner. They can see and manage the different sections of the event and help you handle the event from start to finish.

Admins can also create payouts.

There is one thing to note: an Admin CAN make a payout to any account. They can create payouts to other accounts, including their own account.

The Admin role is therefore best suited for trusted members of your core event team who need broad access to the event.

Accountant

The Accountant role is designed specifically for the person handling the financial side of your event.

Accountants can access the event's transactions and financial information. This allows them to monitor the money coming in and keep track of the event's finances.

However, Accountants cannot create payouts.

This makes the role useful when you want someone to oversee your event's finances without giving them access to the rest of the event or the ability to initiate payouts.

Custom

Sometimes, you don't need to give someone access to everything.

Maybe one team member is responsible for tickets. Another person might handle attendees. Someone else may only need access to just handle referrals and discounts.

That's where the Custom role comes in.

With a Custom role, you choose exactly which tabs the teammate can access.

You can give someone access to the specific areas they need to do their job while keeping everything else restricted.

It gives you the flexibility to delegate responsibilities without giving people access to information they don't need.

You're Always in Control

Adding someone to your team doesn't mean giving up control of your event.

Teammates cannot add or remove other teammates. Only the event owner can manage the team.

As the event owner, you can:

  • Add teammates
  • Remove teammates
  • Change their roles
  • Edit their access
  • Give someone more or less access as their responsibilities change

There is also no limit to the number of teammates you can add to an event. Whether you're working with a small team or a large organizing committee, you can bring everyone who needs access onto Spotix.

Every teammate you add will receive an email notifying them that they've been added to the event.

And it works both ways. Teammates can leave the team whenever they want.

Built for Real Teams

Running an event shouldn't mean doing everything yourself.

You might be the person who created the event, but that doesn't mean you need to be the person managing every ticket, checking every transaction, updating every attendee record, and keeping track of every little detail.

With Spotix Teams, you can bring the right people in, give them the access they need, and focus on the things that need your attention.

Need someone to help run the entire event? Make them an Admin.

Need someone to keep an eye on the finances? Make them an Accountant.

Need someone to handle a specific responsibility? Create a Custom role and give them access to exactly what they need.

That's what collaboration on Spotix is all about. You build the team, you decide the access, and everyone gets to play their part.

Because great events aren't built by one person.

They're built by teams.
